Privacy Policy — Draft 2
Privacy Policy
Tradventory is operated by MP Merchandise LLC, a Kansas limited liability company.
Our Commitment to Your Privacy
At Tradventory, we believe your business information belongs to you. Protecting your privacy and keeping your information secure are important parts of the service we provide.
We do not sell, rent, or trade your personal information or private business data. We do not use your information for targeted advertising.
We collect and use information only as necessary to provide our services, maintain security, support our users, improve the operation of Tradventory, and fulfill legal obligations.
This Privacy Policy explains what information we collect, how we use it, when it may be shared, and what happens when you close your account.
1. Information We Collect

When you register for Tradventory, we collect:
- Your name
- Your email address
- Your password, stored securely in a non-readable form
You may also choose to provide:
- Your business or organization name
- Your business or organization address
We do not require a telephone number to register.
We maintain information about account settings, organization memberships, permissions, and authentication activity as necessary to operate the service.
Business Information
Tradventory allows you to manage business records, which may include:
- Products, SKUs, and inventory quantities
- Purchase lots and acquisition costs
- Suppliers and consignors
- Sales transactions and order information
- Product photographs and uploaded files
- Shipping and fulfillment information
- Financial records, reports, and inventory performance information
We process this information to provide the features you choose to use.
Connected Marketplace Information
If you connect Tradventory to a supported marketplace, such as eBay, we may receive information through its authorized APIs.
Depending on the integration, this may include listings, orders, transaction information, fees, shipping details, and marketplace buyer information.
We access and use this information only as necessary to provide authorized features and as permitted by the marketplace's applicable terms and privacy requirements.
Marketplace connections use authorized authentication methods, such as OAuth. Tradventory does not ask users to provide their marketplace passwords directly.
Payment Information
Paid subscriptions are processed through Stripe.
Tradventory may receive subscription status, billing history, invoice information, and limited payment-method details.
We do not directly store complete credit card numbers or card security codes.
Technical Information
We may collect limited technical information necessary to operate and protect Tradventory, including:
- IP addresses and browser information
- Login activity and session information
- Security and audit records
- Application errors and diagnostic information
We use this information for security, troubleshooting, and maintaining service reliability.
Support Communications
If you contact support, we may retain your messages, contact information, and any screenshots or files you provide so we can assist you.
2. How We Use Your Information
We use information to:
- Create and maintain accounts and organizations
- Provide inventory management and reporting features
- Manage orders, listings, and marketplace integrations
- Process subscriptions and billing
- Provide customer support
- Send necessary account and security notifications
- Maintain and improve the reliability of Tradventory
- Prevent fraud and unauthorized access
- Comply with applicable laws
We may collect internal statistics about application usage and performance to help improve the service.
We do not use private customer information to create advertising profiles, sell marketing insights, or track users across unrelated websites.
Promotional Emails
We may offer optional newsletters, product announcements, or promotional communications.
Promotional emails will be sent only to users who have opted in. Users may unsubscribe at any time.
Essential account, billing, and security notifications are separate from promotional communications.
3. Ownership of Your Information
You retain ownership of the business information you independently create or provide to Tradventory.
This includes your inventory records, acquisition costs, independently created product information, photographs, and other original business records.
Tradventory does not claim ownership of this information.
We retain ownership of our software, application designs, built-in listing templates, report templates, and other proprietary materials.
Information From Marketplaces
Information received from eBay or another connected marketplace remains subject to that marketplace's applicable terms, ownership rights, and data-use restrictions.
Connecting a marketplace does not transfer ownership of its content to Tradventory or grant unrestricted rights to use that content.
We use marketplace information only for purposes authorized by the marketplace and the connected account holder.
4. Organizations and User Access
Tradventory allows organizations to have multiple authorized users.
Organization Owners and authorized Administrators control access to organizational information through the permissions available in Tradventory.
An individual employee deleting their account or leaving an organization does not delete that organization's business records.
Personal preferences associated only with the departing user, such as dashboard settings, may be removed.
Canceling a paid subscription also does not automatically delete organization data. Organizations that move to the Free plan may retain their existing information, subject to the features and limitations of that plan.
Permanent organization closure is a separate action that requires appropriate authorization.
Tradventory Staff Access
Tradventory staff do not routinely access private organizational business records.
If technical assistance requires examining private business information, we will normally obtain permission from an authorized organization representative before accessing it.
Such access will be limited to what is reasonably necessary.
Limited access without prior permission may occur when necessary to investigate security threats, prevent misuse, meet legal obligations, or protect the service.
We seek to restrict administrative access according to operational responsibilities.
5. Connected Marketplaces and Customer Privacy
Tradventory may connect with eBay and other marketplaces using their authorized integration methods.
Information obtained through these integrations is subject to the originating marketplace's applicable privacy requirements.
Marketplace Buyer Information
Some information imported into Tradventory may belong to individuals who purchased products from a seller using our service.
This may include buyer names, shipping addresses, and transaction information.
We use this information only as permitted for authorized order management, fulfillment, recordkeeping, and related marketplace activities.
We do not sell marketplace buyer information, use it for unrelated advertising, or contact marketplace buyers for Tradventory's own promotional purposes.
Marketplace Data Restrictions
We do not use marketplace information to create unauthorized commercial datasets, competitive intelligence, or cross-seller profiles.
Financial and inventory reports that use marketplace information are subject to applicable marketplace permissions and restrictions.
Tradventory will not use eBay-provided content to train artificial intelligence models or machine-learning systems.
Marketplace Data Deletion
We respect applicable marketplace privacy and data-deletion requirements.
For information obtained through eBay, we will process valid marketplace account-deletion notifications and other applicable deletion requests.
Personal information obtained through eBay will be deleted when required by eBay's rules, when it is no longer necessary for its authorized purpose, or when an applicable deletion request requires its removal.
These requirements may require deletion before Tradventory's general account-retention period expires.
Information may be retained only where a specific applicable legal obligation permits or requires retention.
Where retention of transaction records is legally necessary, we will limit any retained personal information to what is required.
Disconnecting a Marketplace
Users may disconnect supported marketplace integrations.
When an integration is disconnected, Tradventory will stop using the disconnected authorization and remove or invalidate the applicable stored connection credentials.
Previously imported business records may remain available when their continued retention and use are permitted by the marketplace's rules and applicable law.
Disconnecting an integration does not override marketplace-specific deletion obligations.
6. Artificial Intelligence Features
Tradventory may introduce optional AI-assisted features, such as:
- Creating product descriptions
- Improving listing text
- Editing or enhancing product photographs
- Assisting with other inventory or listing tasks
When you choose to use an AI feature, only the information reasonably necessary to complete your request will be provided to the AI service.
Tradventory will not use your private business information to train AI models, and we will not authorize AI service providers to use information submitted through Tradventory for model training.
AI service providers may temporarily process or retain submitted information for security, abuse prevention, or operational purposes under their applicable data-handling terms.
Information obtained from eBay or another marketplace will not be submitted to external AI services unless that processing is permitted by the marketplace's applicable requirements.
AI features will be introduced only after appropriate privacy and provider arrangements are established.
7. When We Share Information
We do not sell your personal information or business data.
We may share limited information with trusted service providers when necessary to operate Tradventory.
Our anticipated service providers include:
- DigitalOcean: Application hosting and infrastructure
- Resend: Transactional email and service notifications
- Stripe: Subscription billing and payment processing
These providers receive only the information reasonably necessary to perform their services and must be subject to applicable data-protection requirements.
For marketplace-derived information, service providers must also comply with the applicable marketplace restrictions.
We may also share information when:
- You authorize a marketplace connection or other integration
- Information is shared with authorized members of your organization
- Disclosure is required by applicable law or a valid legal process
- Disclosure is reasonably necessary to investigate fraud, security incidents, or unlawful activity
We limit disclosures to what is necessary for the applicable purpose.
We may add or change providers as Tradventory develops and will update this policy when those changes materially affect how information is handled.
8. Cookies and Analytics
Tradventory may use essential cookies and similar technologies to:
- Maintain login sessions
- Protect accounts against unauthorized access
- Remember application preferences
- Support normal application functionality
We do not use advertising cookies, retargeting pixels, or cross-site behavioral tracking.
We may use internal or third-party analytics tools to measure general website and application activity for operational purposes.
If additional analytics tools are introduced, we will evaluate their privacy practices and update this policy as appropriate before using them.
We do not use analytics information to create advertising profiles of our users.
9. Information Security
We take reasonable steps to protect the information stored in Tradventory.
Our security practices are intended to include appropriate measures for authentication, access restrictions, secure communications, data protection, monitoring, and recovery.
We seek to limit access to information to authorized users and systems.
No online service can guarantee absolute security. Although we work to protect information, we cannot guarantee that security incidents, technical failures, or service interruptions will never occur.
If a security incident involving personal information occurs, we will investigate and provide notifications as required by applicable law.
Users should protect their account credentials and promptly report suspected unauthorized access.
10. Data Retention and Deletion
We retain information only for as long as reasonably necessary to provide the service, fulfill legitimate operational purposes, or satisfy applicable legal requirements.
Individual Accounts
Deleting an individual user account does not delete records belonging to an organization.
Personal account preferences and other user-specific information may be deleted when no longer necessary, subject to applicable retention requirements.
Organization Closure
When an authorized organization representative permanently closes an organization, we begin the process of removing its information.
Our intended general retention limits are:
- Business and account records: No longer than six months after permanent organization closure, unless a longer period is legally required
- Uploaded images and photographs: No longer than three months after permanent organization closure, unless legally required
- Marketplace authorization credentials: Removed or invalidated promptly following organization closure
These are maximum retention periods, not minimum periods.
Some information may temporarily remain in protected system backups until it can be removed or the backup expires. Backup handling must also comply with applicable legal and marketplace deletion obligations.
Marketplace-Specific Requirements
Information received from connected marketplaces may be subject to shorter retention periods or additional deletion requirements.
For example, eBay personal information must be deleted when required under its developer and privacy rules, even if the Tradventory organization remains active.
Valid marketplace account-deletion notifications may require removal of buyer or seller personal information associated with existing transaction records.
We will not retain marketplace personal information solely because an organization wishes to keep a historical copy when that retention is prohibited by the marketplace's applicable requirements.
Information Retained for Legal Reasons
Certain limited information may be retained where necessary to satisfy specific legal obligations, such as legally required tax records, accounting records, or valid legal proceedings.
Information retained for these purposes will be limited to what is legally necessary and will not be used for unrelated purposes.
11. Your Choices and Privacy Rights
Depending on your account permissions, you may:
- View and update account information
- Manage available security settings
- Control authorized organization access
- Connect or disconnect supported marketplaces
- Export information through available reporting and export features
- Opt in to or unsubscribe from promotional emails
- Request closure of an account or organization when authorized
- Contact us about access, correction, or deletion of personal information
Tradventory may provide exports for specific records, such as inventory, SKUs, and reports. We do not guarantee that these features provide a complete export of all information associated with an organization.
Privacy requests may require verification of identity or appropriate organizational authority.
Individuals whose information was obtained through marketplace transactions may also submit privacy-related inquiries. We will review those requests and, where appropriate, coordinate with the originating marketplace or merchant.
We will respond to applicable privacy requests as required by law.
12. Children's Privacy
Tradventory is intended for adults aged 18 or older.
We do not knowingly provide accounts to individuals under 18 years of age.
If we discover that an account was created by someone under 18, we will take appropriate steps to close it and address the associated personal information.
13. United States Service
Tradventory is intended for businesses and users located in the United States.
The service is designed primarily for U.S. dollar transactions and U.S. business operations.
We do not currently support international account registration.
Our service providers may process or store information in other locations as permitted by applicable law and contractual requirements.
14. Changes to This Policy
We may update this Privacy Policy as Tradventory develops, new features are introduced, or legal requirements change.
When we make changes, we will update the effective date and publish the revised policy.
For material changes affecting how personal information is collected, used, or shared, we will provide appropriate notice when required or appropriate.
